Job Description

We are seeking a diligent and highly organised Import Export Assistant to join our dedicated team at andBeyond Mnemba Island Lodge. This full-time, on-site role is critical to ensuring the seamless flow of goods and supplies necessary for the smooth operation of our exclusive luxury lodge. As an Import Export Assistant, you will play a vital role in coordinating all aspects of our inbound and outbound shipments, from perishable food items and beverages to luxury guest amenities, essential equipment, and spare parts. You will be responsible for preparing and processing all required documentation, managing customs clearance procedures, and liaising with freight forwarders, suppliers, and local authorities. This position demands a keen eye for detail, exceptional organisational skills, and a proactive approach to problem-solving to overcome the unique logistical challenges of operating on a remote private island. Your efforts will directly contribute to maintaining the high standards of service and luxury that our guests expect, ensuring that every necessary item arrives on time and in perfect condition. Key Responsibilities

  • Prepare, review, and process all import and export documentation, including customs declarations, invoices, packing lists, and certificates of origin.
  • Coordinate with freight forwarders, shipping lines, and airlines to arrange timely and cost-effective transportation of goods to and from Mnemba Island.
  • Facilitate customs clearance procedures, ensuring strict compliance with Tanzanian import/export laws and regulations.
  • Track and monitor the status of shipments, providing regular updates to relevant departments within the lodge.
  • Liaise with suppliers to confirm order accuracy, delivery schedules, and resolve any discrepancies.
  • Maintain accurate records of all import/export transactions, permits, and licenses.
  • Assist with inventory management, stock reconciliation, and identifying purchasing needs based on consumption and operational demands.
  • Research and stay informed about changes in international trade policies, tariffs, and customs regulations.
  • Handle any customs inspections or audits efficiently and professionally.
  • Support the procurement team in sourcing local supplies and managing supplier relationships.

Required Skills

  • Proven experience (minimum 18 months) in an import/export, logistics, or supply chain role, preferably within the hospitality or luxury goods sector.
  • Solid understanding of international shipping procedures, customs regulations, and trade compliance.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with logistics or ERP software.
  • Excellent communication and interpersonal skills, fluent in both English and Swahili.
  • Strong organisational abilities and meticulous attention to detail.
  • Ability to work independently and as part of a team in a fast-paced, remote environment.
  • Problem-solving skills with a proactive approach to anticipate and mitigate logistical challenges.

Preferred Qualifications

  • Diploma or Bachelor’s degree in Supply Chain Management, Logistics, International Trade, or a related field.
  • Experience working in a remote island or hospitality environment.
  • Knowledge of perishable goods handling and cold chain logistics.
  • Certification in International Trade Logistics or Customs Brokerage.
