As an Inventory Assistant, you will be the backbone of our operational efficiency, playing a crucial role in maintaining accurate stock levels and ensuring the smooth flow of products from our receiving bay to the sales floor. Your keen eye for detail will prevent discrepancies, minimise waste, and directly impact our ability to meet customer demand and uphold our promise of fresh, readily available goods. You’ll be responsible for the entire inbound logistics process, from expertly receiving and unpacking deliveries to meticulously organising them within our storage facilities. This involves ensuring that all incoming goods precisely match purchase orders, meticulously checking for quality, correct quantity, and any potential damages, and swiftly reporting any anomalies to management.

Beyond inbound logistics, you will be instrumental in maintaining the organised and efficient layout of our storerooms and warehouses. This includes ensuring products are easily accessible, rotated effectively to minimise spoilage or obsolescence, and stored strictly according to company standards and rigorous safety regulations. Regular stock counts, encompassing both targeted cycle counts and comprehensive full inventories, will fall under your purview. This requires a high degree of accuracy, analytical thinking, and effective problem-solving skills to investigate and reconcile any discrepancies discovered. You will become proficient in utilising our state-of-the-art inventory management systems to accurately record all stock movements, update records in real-time, and generate insightful reports. This crucial data will contribute valuable information that informs our procurement strategies, sales forecasting, and overall business planning.

Key Responsibilities

  • Receive, unpack, and inspect incoming merchandise for accuracy, quality, and quantity against purchase orders.
  • Organize and store products in designated locations within the warehouse or storeroom, ensuring proper rotation and accessibility.
  • Conduct regular stock counts (cycle counts and full inventories) to verify inventory accuracy and reconcile discrepancies.
  • Operate inventory management systems to record stock movements, update inventory records, and generate reports.
  • Identify and report any damaged, defective, or expired products to management promptly.
  • Maintain a clean, organised, and safe working environment, adhering to all health and safety regulations.
  • Assist in preparing merchandise for transfer or return to suppliers.
  • Collaborate with store management and sales teams to ensure optimal stock levels and product availability.
  • Contribute to process improvement initiatives for inventory management and logistics.
  • Adhere to flexible working schedules as agreed, ensuring operational needs are consistently met.

Required Skills

  • Strong attention to detail and accuracy
  • Basic mathematical skills for counting and calculations
  • Ability to lift and move merchandise (up to 25 kg) and stand for extended periods
  • Excellent organizational and time management skills
  • Good verbal communication skills in Portuguese (and ideally basic English)
  • Ability to work independently and as part of a team
  • Proficiency in using basic computer applications and willingness to learn inventory software

Preferred Qualifications

  • High school diploma or equivalent
  • Previous experience (6-12 months) in an inventory, warehouse, or retail stockroom role
  • Familiarity with inventory management systems or point-of-sale (POS) software
  • Knowledge of retail operations and stock control best practices
