This pivotal role involves managing a diverse portfolio of commercial and residential leases, ensuring compliance with contractual terms, and supporting the seamless operation of our property management division. As a Lease Administrator, you will be the linchpin in our lease lifecycle, from drafting and review to execution and ongoing management. You will work closely with legal, finance, and property management teams, serving as the primary point of contact for lease-related inquiries and documentation. Key Responsibilities
- Manage and maintain a portfolio of commercial and residential lease agreements, ensuring accuracy and compliance.
- Draft, review, and abstract lease documents, amendments, renewals, and terminations.
- Act as the primary point of contact for tenants, landlords, and internal stakeholders regarding lease inquiries and issues.
- Monitor lease critical dates, including expirations, renewals, and rent escalations, initiating actions as required.
- Administer rent calculations, operating expense reconciliations, and other financial aspects of leases.
- Ensure all lease-related data is accurately entered and maintained within the property management system.
- Collaborate with legal counsel on complex lease terms and provide support in dispute resolution.
- Prepare reports on lease portfolio status, occupancy rates, and financial performance for management review.
- Assist in the development and implementation of leasing policies and procedures to enhance efficiency.
Required Skills
- Proven experience as a Lease Administrator or similar role, preferably within the German real estate market.
- Strong understanding of German lease law (Mietrecht) and real estate principles.
- Proficiency in property management software (e.g., SAP RE-FX, Yardi, MRI) and MS Office Suite.
- Excellent organizational skills and a meticulous attention to detail.
- Strong communication skills, both written and verbal, in German and English.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Demonstrated ability to work independently and as part of a team.
