Job Description

Nyasimi & Company Advocates is seeking a diligent and highly organized Legal Clerk with a strong focus on documentation to join our growing team in Nyamira County. This crucial role provides essential administrative and documentation support to our legal professionals, ensuring the smooth and efficient operation of our legal processes. The successful candidate will be instrumental in managing, organizing, and maintaining critical legal documents, correspondence, and case files. You will be responsible for precise data entry, document preparation, and ensuring all legal paperwork adheres to regulatory standards and internal firm protocols. Key Responsibilities

  • Manage and organize physical and electronic legal documents, including pleadings, correspondence, contracts, and research materials.
  • Draft, review, and proofread various legal documents such as affidavits, agreements, memos, and court filings under supervision.
  • Maintain comprehensive and up-to-date client files, ensuring all documents are accurately categorized and easily retrievable.
  • Assist with the preparation and submission of court documents, ensuring compliance with court rules and deadlines.
  • Conduct basic legal research as directed, compiling relevant information and summaries.
  • Handle incoming and outgoing mail, faxes, and emails, distributing to appropriate legal staff.
  • Schedule appointments, manage calendars, and coordinate meetings for legal professionals.
  • Perform data entry and maintain accurate records in the firm’s case management system.
  • Photocopy, scan, and bind documents as required for presentations, court submissions, and internal use.
  • Assist with general office administration tasks, including ordering supplies and maintaining office equipment.
  • Ensure strict confidentiality of all client information and firm matters.
  • Support lawyers in preparing for hearings, trials, and client meetings by assembling necessary documentation.

Required Skills

  • Proven experience as a Legal Clerk or in a similar administrative role within a law firm.
  • Proficiency in document management and record-keeping systems.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong written and verbal communication skills in English and Swahili.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to prioritize tasks and manage time effectively in a demanding environment.
  • Discretion and strong ethical conduct in handling confidential information.
  • Basic understanding of legal terminology, processes, and court procedures.

Preferred Qualifications

  • Diploma or Certificate in Legal Studies, Paralegal Studies, or a related field.
  • Familiarity with Kenyan legal system and court processes.
  • Experience with legal research tools and databases.
  • Ability to work independently as well as part of a team.
  • Proactive attitude and strong problem-solving abilities.
