Key Responsibilities

  • Prepare, proofread, and format a variety of legal documents, including correspondence, pleadings, and agreements, ensuring accuracy and adherence to legal standards.
  • Manage and maintain legal calendars, schedule appointments, meetings, and court dates, and coordinate travel arrangements for legal professionals.
  • Handle incoming and outgoing mail, email, and faxes, organizing and distributing them efficiently to relevant team members.
  • Maintain organized physical and electronic filing systems, ensuring all documents are easily retrievable and securely stored.
  • Act as a primary point of contact for clients, providing professional and courteous communication, and directing inquiries appropriately.
  • Assist with opening and closing client files, maintaining client confidentiality and ensuring all necessary documentation is complete.
  • Order and maintain office supplies, ensuring the office is well-stocked and operational.
  • Perform general administrative tasks as required, including photocopying, scanning, data entry, and assisting with special projects.

Required Skills

  • High School Diploma or equivalent; further education in administration or legal studies is an asset.
  • Exceptional written and verbal communication skills, with a keen eye for grammar and spelling.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable learning new software.
  • Strong organizational skills and the ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
  • Meticulous attention to detail and accuracy in all work produced.
  • A proactive attitude, strong work ethic, and an eagerness to learn and adapt to new challenges.
  • Ability to maintain strict confidentiality regarding all legal and client matters.

Preferred Qualifications

  • Certificate or Diploma in Legal Office Administration, Paralegal Studies, or a related field.
  • Previous administrative or office experience, even in a non-legal setting, demonstrating strong organizational capabilities.
  • Familiarity with basic legal terminology and procedures.
  • Experience using legal practice management software or document management systems.
