Job Description

We are seeking a highly organised, proactive, and meticulous Legal Secretary to provide comprehensive administrative and secretarial support to our lawyers and legal team. This pivotal role requires an individual with exceptional document management skills, a strong understanding of legal procedures, and an unwavering commitment to confidentiality and professionalism. As a Legal Secretary, you will be instrumental in ensuring the smooth and efficient operation of our legal practice, handling a wide array of tasks that demand precision and attention to detail. Your responsibilities will extend beyond traditional secretarial duties to encompass critical document preparation, client communication, and case file management, directly contributing to the success of our legal matters. Key Responsibilities

  • Manage and maintain lawyers' calendars, scheduling appointments, meetings, and court appearances.
  • Prepare, proofread, and format legal documents, correspondence, pleadings, and reports with exceptional accuracy.
  • Organise and maintain physical and electronic client files, ensuring all documentation is up-to-date and easily accessible.
  • Handle incoming and outgoing mail, emails, and phone calls, professionally liaising with clients, courts, and external parties.
  • Assist with legal research, gather relevant case information, and compile litigation support materials.
  • Process invoices, expenses, and manage billing cycles, coordinating with the finance department as required.
  • Ensure strict adherence to confidentiality protocols and data protection regulations at all times.

Required Skills

  • Proven experience as a Legal Secretary or Executive Assistant in a legal environment (minimum 3 years).
  • Excellent proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal software.
  • Superior written and verbal communication skills in English and French.
  • Exceptional organisational and time management abilities, with a keen eye for detail.
  • Ability to work independently, prioritise tasks, and manage multiple deadlines effectively.
  • High degree of professionalism, discretion, and ethical conduct.
  • Strong understanding of legal terminology, procedures, and document formatting.

Preferred Qualifications

  • A diploma or certification in Legal Secretarial Studies or Office Administration.
  • Proficiency in additional languages relevant to the Mauritian business context.
  • Experience with document management systems and e-filing platforms.
