Key Responsibilities

  • Greet patients and visitors warmly, managing patient flow and ensuring a positive first impression.
  • Schedule and confirm appointments, adhering to clinic protocols and patient preferences.
  • Answer and direct phone calls, managing inquiries with professionalism and efficiency.
  • Maintain and update patient medical records accurately and confidentially, both electronic and paper-based.
  • Process patient registrations, verify demographic and insurance information.
  • Prepare examination rooms and ensure all necessary supplies are stocked and ready.
  • Assist with basic billing and payment processing, including collecting co-pays and issuing receipts.
  • Manage incoming and outgoing correspondence, faxes, and emails.
  • Maintain cleanliness and organization of the reception area, waiting room, and office common spaces.
  • Collaborate effectively with medical staff to facilitate patient care coordination and communication.
  • Adhere strictly to all privacy regulations (e.g., PHIPA, Act Respecting the Protection of Personal Information in the Private Sector) and clinic policies.
  • Provide administrative support to medical practitioners as required, including typing reports and preparing documents.

Required Skills

  • High School Diploma or equivalent.
  • Exceptional verbal and written communication skills (French required, English an asset for bilingual client needs).
  • Proficiency in basic computer applications (e.g., Microsoft Office Suite, email, calendar management).
  • Strong organizational abilities and meticulous attention to detail.
  • Ability to multitask and prioritize effectively in a busy, sometimes demanding, environment.
  • Excellent customer service and interpersonal skills, with a empathetic approach.
  • Demonstrated ability to maintain strict patient confidentiality and professionalism at all times.
  • A proactive and positive attitude with a strong eagerness to learn and adapt.

Preferred Qualifications

  • Completion of a Medical Office Assistant or Administrative Assistant program from a recognized institution.
  • Familiarity with medical terminology and common medical procedures.
