Key Responsibilities
- Greet and welcome patients and visitors in a friendly, professional, and empathetic manner.
- Manage patient check-ins and check-outs efficiently, verifying demographic and insurance information with precision.
- Schedule, reschedule, and cancel appointments accurately using our clinic management system.
- Answer multi-line phone systems, direct calls appropriately, and take accurate, detailed messages.
- Process new patient registrations thoroughly and update existing patient records, ensuring data integrity.
- Handle patient inquiries and provide basic information about clinic services, policies, and procedures.
- Collect co-payments, process billing, and manage patient accounts with meticulous attention to financial details.
- Maintain the waiting area in a tidy, organised, and welcoming condition.
- Manage incoming and outgoing mail, faxes, and electronic communications promptly.
- Ensure patient confidentiality and adhere strictly to all data protection regulations (e.g., GDPR, Caldicott Guidelines).
- Collaborate effectively with clinical staff (doctors, nurses) to ensure efficient patient flow and communication.
- Assist with general administrative tasks, including filing, scanning, and photocopying, as required to support clinic operations.
Required Skills
- Proven experience in a customer service or administrative role, preferably within a medical or clinical setting.
- Excellent verbal and written communication skills with a professional and compassionate tone.
- Strong organizational, time management, and multitasking abilities to handle a busy workload.
- Proficiency in using computer systems, including Microsoft Office Suite (Word, Excel, Outlook) and patient management software (e.g., EMIS Web, SystmOne, or similar).
