Key Responsibilities

  • Greet patients warmly upon arrival, manage check-ins and check-outs efficiently.
  • Schedule and confirm appointments, manage patient calendars, and coordinate referrals.
  • Answer multi-line phone systems, direct calls, and take accurate messages.
  • Maintain and update patient records with strict adherence to privacy regulations (PHIPA/HIPAA).
  • Process patient payments, manage billing inquiries, and handle insurance verification.
  • Prepare examination rooms, maintain cleanliness, and organize the reception area.
  • Handle incoming and outgoing mail, faxes, and general office correspondence.

Required Skills

  • High school diploma or equivalent.
  • Exceptional verbal and written communication skills.
  • Strong organizational abilities and attention to detail.
  • Proficiency in basic computer applications (Microsoft Office Suite, email).
  • Ability to multitask and prioritize in a busy environment.
  • A positive, empathetic, and professional demeanor.
  • Reliability and punctuality are essential.
