Job Description

We are seeking a highly motivated and compassionate Medical Receptionist with a strong focus on patient coordination to join our dedicated team at Orapa Hospital. This critical full-time role serves as the first point of contact for patients and visitors, setting the tone for their entire healthcare experience. You will be instrumental in ensuring the smooth and efficient flow of our clinic operations, managing appointments, maintaining patient records with utmost confidentiality, and providing essential administrative support to our medical professionals.

Key Responsibilities

  • Greet and welcome patients and visitors in a professional and friendly manner.
  • Manage the patient registration process, including verifying demographic and insurance information.
  • Schedule, confirm, and reschedule patient appointments efficiently, optimizing clinic flow.
  • Answer and direct phone calls, taking messages and providing information as required.
  • Maintain accurate and confidential patient records, ensuring compliance with privacy regulations.
  • Process patient payments, manage billing inquiries, and handle petty cash transactions.
  • Coordinate referrals to specialists and other departments within Orapa Hospital.
  • Prepare patient charts and ensure all necessary documentation is available for appointments.
  • Assist with administrative tasks such as filing, scanning, and managing office supplies.
  • Communicate effectively with medical staff, patients, and external providers to ensure seamless patient care.
  • Handle patient inquiries and complaints with professionalism and a problem-solving approach.

Required Skills

  • High school diploma or equivalent.
  • Minimum of 2 years of experience in a medical receptionist or administrative role within a healthcare setting.
  • Excellent communication and interpersonal skills, both verbal and written.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Demonstrated empathy and a patient-first approach.
  • Strict adherence to patient confidentiality and data protection regulations.

Preferred Qualifications

  • Certificate or Diploma in Medical Office Administration or a related field.
  • Experience with medical practice management software (e.g., electronic health records systems).
  • Fluency in Setswana and/or other local languages.
  • Knowledge of medical terminology and procedures.
