Job Description
The Zanzibar AIDS Commission (ZAC) is seeking a highly motivated and dedicated NGO Program Assistant to join our dynamic team in Stone Town. This full-time position is pivotal in supporting the effective implementation and coordination of ZAC’s various HIV/AIDS programs and initiatives across Zanzibar. The Program Assistant will play a crucial role in ensuring the smooth operation of daily program activities, providing essential administrative and logistical support to program managers and officers. Key Responsibilities
- Provide comprehensive administrative and logistical support to program managers and officers.
- Assist in the planning, coordination, and implementation of various program activities and events.
- Maintain and regularly update program databases, records, and comprehensive filing systems.
- Draft professional correspondence, reports, presentations, and other program-related documents.
- Facilitate effective communication with program partners, stakeholders, and beneficiaries.
- Assist with data collection, compilation, and preliminary analysis for monitoring and evaluation purposes.
- Support the organization of meetings, workshops, and training sessions, including scheduling, venue booking, and material preparation.
- Monitor program expenditures and assist with budget tracking and financial reporting.
- Conduct field visits as needed to support program activities and gather crucial information.
- Ensure strict compliance with ZAC policies, donor requirements, and relevant governmental regulations.
Required Skills
- Proven experience in an administrative or program support role, preferably within an NGO setting.
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills in both English and Swahili.
- Ability to work effectively both independently and as a collaborative member of a team.
- High level of attention to detail and accuracy in all tasks.
- Demonstrated ability to handle confidential information with utmost discretion.

Preferred Qualifications
- Bachelor's degree in Public Health, Social Sciences, Development Studies, or a closely related field.
