Key Responsibilities

  • Greet patients and visitors warmly, ensuring a welcoming and comforting environment.
  • Manage and optimize appointment scheduling, rescheduling, and cancellations efficiently.
  • Answer incoming calls, respond to emails, and address patient inquiries with professionalism and empathy.
  • Maintain accurate and confidential patient records, ensuring all data is up-to-date and compliant with privacy regulations.
  • Assist patients with registration processes, insurance verification, and completion of necessary forms.
  • Coordinate with doctors, nurses, and other medical staff to ensure smooth patient flow and communication.
  • Provide patients with clear instructions regarding appointments, procedures, and follow-up care.
  • Manage waiting areas, ensuring cleanliness and comfort for all patients.
  • Process payments, issue receipts, and handle basic billing inquiries.
  • Monitor inventory of office supplies and submit requests for replenishment as needed.
  • Handle patient feedback and complaints constructively, escalating issues to appropriate personnel when necessary.
  • Adhere strictly to all healthcare privacy laws and company policies regarding patient confidentiality.

Required Skills

  • Proven experience in a customer service or patient-facing role (minimum 1 year)
  • Exceptional verbal and written communication skills in English and Kiswahili
  • Strong organizational abilities and meticulous attention to detail
  • Proficiency in basic computer applications (MS Office Suite, email, calendar management)
  • Demonstrated empathy, patience, and a compassionate demeanor
  • Ability to multitask effectively in a dynamic and sometimes high-pressure environment
  • Strong problem-solving skills and a proactive approach to challenges
  • High level of professionalism and discretion when handling sensitive information

Preferred Qualifications

  • Familiarity with medical terminology and healthcare systems (e.g., EMR/EHR)
  • Experience with scheduling software and patient management systems
  • First Aid and CPR certification
