Career.zycto is seeking a highly organised, proactive, and discreet Personal Assistant with a strong focus on diary management and travel coordination to support our senior leadership team. Key Responsibilities

  • Proactively manage complex diaries for senior executives, including scheduling meetings, appointments, and conferences, anticipating potential conflicts and resolving them efficiently.
  • Coordinate and arrange extensive national and international travel itineraries, including flights, accommodation, visas, ground transportation, and detailed travel packs.
  • Act as a primary point of contact, screening calls, emails, and correspondence, and handling inquiries with professionalism and discretion.
  • Prepare presentations, reports, and other documents, ensuring accuracy and adherence to company standards.
  • Organise and facilitate meetings, including booking venues, arranging refreshments, preparing agendas, and circulating minutes.
  • Process expenses, invoices, and other financial administration with meticulous attention to detail.
  • Maintain highly confidential information with utmost integrity and discretion.
  • Undertake various administrative tasks to support the smooth operation of the executive office.

Required Skills

  • Minimum of 2 years of experience in a Personal Assistant or Executive Assistant role, specifically with diary and travel management.
  • Exceptional organisational and time management skills, with the ability to prioritise effectively.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with calendar management software.
  • Excellent written and verbal communication skills, with a professional and articulate demeanour.
  • Proven ability to manage multiple tasks simultaneously and work effectively under pressure.
  • High level of discretion and confidentiality.
  • Strong problem-solving abilities and a proactive approach to tasks.
