Key Responsibilities
- Proactively manage and optimise the executive's complex calendar, including scheduling meetings, appointments, and extensive travel arrangements.
- Act as the primary point of contact for internal and external stakeholders, expertly screening and prioritising communications, and drafting professional correspondence.
- Prepare comprehensive meeting materials, presentations, and detailed reports, ensuring absolute accuracy and timely delivery.
- Coordinate extensive domestic and international travel logistics, meticulously arranging itineraries, visas, accommodation, and ground transportation.
- Process expenses, invoices, and other financial documentation with meticulous attention to detail and adherence to company policies.
- Organise and facilitate executive meetings, including precise agenda setting, accurate minute-taking, and diligent tracking of action items to completion.
- Undertake thorough research, compile relevant data, and prepare concise summaries to effectively support executive decision-making.
- Assist with special projects and strategic initiatives as directed by the executive, requiring independent judgment, strong problem-solving skills, and consistent follow-through.
- Maintain highly organised digital and physical filing systems, ensuring complete confidentiality and easy, efficient retrieval of information.
- Anticipate executive needs, proactively identify potential challenges, and swiftly resolve scheduling conflicts or logistical issues before they arise.
Required Skills
- Proven experience (minimum 3 years) as a Personal Assistant or Executive Assistant supporting C-suite or senior executives.
- Exceptional organisational and time management skills with the ability to multitask and prioritise effectively under pressure.
- Outstanding written and verbal communication skills, with a strong command of English grammar and professional etiquette.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
