Job Description
We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive administrative support to our senior leadership team at Safaricom PLC. This pivotal role requires an individual with exceptional multitasking abilities, meticulous attention to detail, and a professional demeanor. You will be instrumental in ensuring the smooth and efficient operation of the leadership office, managing complex schedules, communications, and projects. Key Responsibilities
- Manage and maintain complex calendars, including scheduling meetings, appointments, and travel arrangements for senior leadership.
- Act as a primary point of contact, screening and prioritizing incoming communications (emails, calls) and drafting responses where appropriate.
- Prepare and edit correspondence, reports, presentations, and other documents with high accuracy and attention to detail.
- Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle confidential information with the utmost discretion and professionalism.
- Process expense reports, invoices, and other financial documentation.
- Coordinate domestic and international travel logistics, including flight bookings, accommodation, and ground transportation.
- Assist with special projects, research, and event planning as assigned by senior leadership.
- Maintain an organized filing system, both physical and digital.
- Foster a positive and efficient working environment within the executive office.
Required Skills
- Proven experience as a Personal Assistant or Executive Assistant to senior management.
- Exceptional organizational and time management skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent written and verbal communication skills in English.
- High level of discretion and confidentiality.
- Ability to work independently and as part of a team.
- Strong problem-solving and decision-making abilities.
- Proactive and detail-oriented approach to tasks.
Preferred Qualifications
- A Bachelor's degree in Business Administration, Communication, or a related field.
- Experience in the telecommunications or technology industry.
- Familiarity with project management software and virtual communication platforms.
- Ability to communicate in Swahili is an added advantage.
