Job Description

We are seeking a highly organized, proactive, and detail-oriented Project Coordinator with a strong and proven focus on planning and documentation to join our dynamic team located in Malherbes, Curepipe. In this pivotal role, you will be instrumental in ensuring the seamless planning, efficient execution, and successful completion of a diverse range of projects across various departments within the bank, from their initial concept phase right through to their final closing. Your primary responsibilities will intricately revolve around providing comprehensive support to our Project Managers, diligently tracking project progress, meticulously managing all project documentation, and facilitating clear, effective, and timely communication among all project stakeholders.

Key Responsibilities

  • Assist Project Managers in the planning, execution, monitoring, and successful closing of diverse projects.
  • Develop, maintain, and manage comprehensive project documentation, including detailed project plans, intricate schedules, progress reports, risk logs, issue registers, and accurate meeting minutes.
  • Track project progress against established timelines, monitor key deadlines, and proactively identify potential deviations, roadblocks, or risks, escalating concerns to Project Managers as necessary.
  • Coordinate and schedule project meetings, including preparing and distributing agendas, collating relevant materials, and accurately documenting all discussions and agreed-upon outcomes.
  • Facilitate clear and effective communication between project teams, internal stakeholders, and external vendors to ensure complete alignment, understanding, and timely information flow.
  • Organize and manage all project files, data, and resources using designated project management tools and secure digital platforms.
  • Support the preparation of impactful project presentations, detailed reports, and various communication materials tailored for different audiences.
  • Ensure strict compliance with internal project management methodologies, corporate policies, and relevant regulatory requirements throughout the project lifecycle.
  • Assist in meticulous budget tracking, expenditure monitoring, and optimal resource allocation for all assigned projects.
  • Provide comprehensive administrative and logistical support to the wider project team as and when required.

Required Skills

  • Proven experience (at least 3 years) as a Project Coordinator or in a similar administrative role, specifically with a strong emphasis on planning, scheduling, and documentation management.
  • Proficiency in project management software (e.g., MS Project, Jira, Asana) and expert-level command of MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and superior time-management skills with the ability to effectively prioritize tasks and proficiently manage multiple projects simultaneously under tight deadlines.
  • Exceptional written and verbal communication skills in both English and French are mandatory.
  • Impeccable attention to detail and a high degree of accuracy in documentation and record-keeping.
  • Ability to work effectively both independently with minimal supervision and collaboratively as a valued member of a high-performing team.
  • Strong problem-solving aptitude, critical thinking skills, and a proactive, solution-oriented approach to challenges.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Project Management, Finance, Information Technology, or a closely related field.
  • Possession of a recognized Project Management certification (e.g., CAPM, PMP, Prince2 Foundation, Scrum Master).
  • Prior experience working within the banking, financial services, or a highly regulated industry.
  • Familiarity with agile project management methodologies and frameworks.
