Key Responsibilities

  • Serve as the primary point of contact for tenant inquiries, concerns, and maintenance requests, ensuring prompt and professional resolution.
  • Assist in preparing, processing, and maintaining accurate tenant leases, renewals, and other related documentation.
  • Coordinate with external vendors and internal maintenance teams to schedule and oversee property repairs and preventative maintenance, tracking progress diligently.
  • Manage and update property management databases and record-keeping systems, ensuring data integrity and accessibility.
  • Support the property managers in conducting regular property inspections, identifying necessary repairs, and ensuring compliance with safety standards.
  • Aid in the collection and accurate posting of rent payments and other fees.
  • Participate in marketing efforts for vacant units, including preparing listings, scheduling showings, and assisting prospective tenants.
  • Assist with the detailed move-in and move-out processes, including property walkthroughs and deposit reconciliations.
  • Handle general office administration duties, including answering phones, managing correspondence, and maintaining supplies.

Required Skills

  • High School Diploma or GED equivalent.
  • Exceptional verbal and written communication skills.
  • Strong organizational abilities with a keen eye for detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Demonstrated ability to multitask and prioritize effectively in a busy environment.
  • A proactive and positive attitude with a strong commitment to customer service.
  • Ability to learn new software and systems quickly.
  • Basic understanding of administrative procedures.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Real Estate, or a related field.
  • Previous administrative support or customer service experience (even if not property management specific).
  • Familiarity with property management software (e.g., AppFolio, Yardi).
