Job Description

We are seeking a highly organized, professional, and customer-focused Reception Clerk to join our dynamic team at the Thaba-Tseka branch. This pivotal role serves as the first point of contact for our valued customers and visitors, creating a welcoming and efficient front-office experience. As a Reception Clerk, you will be responsible for managing the reception area, handling incoming calls, directing queries, and performing various administrative tasks crucial to the smooth operation of the branch. Key Responsibilities

  • Greet and welcome customers and visitors in a professional and friendly manner.
  • Answer, screen, and forward incoming phone calls, taking messages as needed.
  • Direct visitors to the appropriate person and office.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries.
  • Maintain office security by following procedures and controlling access (monitor logbook, issue visitor badges).
  • Order front office supplies and keep an inventory of stock.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, brochures).
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Assist with scheduling appointments and managing meeting room bookings.
  • Support administrative tasks for various departments as required.
  • Handle customer inquiries and complaints with professionalism and escalate when necessary.

Required Skills

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Hands-on experience with office equipment (e.g., fax machines, printers).
  • Professional attitude and appearance.
  • Solid written and verbal communication skills in English and Sesotho.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service orientation.

Preferred Qualifications

  • High school diploma; additional certification in Office Management is a plus.
  • Knowledge of banking procedures and financial services terminology.
  • Experience with customer relationship management (CRM) software.
  • Ability to handle confidential information with discretion.
