Key Responsibilities

  • Greet and welcome guests as soon as they arrive at the office, directing them to the appropriate person and office.
  • Answer, screen, and forward incoming phone calls with a professional and friendly demeanor, taking messages when necessary.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, brochures).
  • Provide basic and accurate information in-person, via phone, and through email correspondence.
  • Receive, sort, and distribute daily mail, courier packages, and other deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Order front office supplies and keep an inventory of stock, ensuring adequate supplies are always available.
  • Perform other clerical receptionist duties such as filing, photocopying, scanning, transcribing, and faxing.
  • Assist with scheduling appointments, managing calendars, and booking meeting rooms.
  • Support administrative staff with a variety of tasks as needed to ensure smooth office operations.

Required Skills

  • High School Diploma or equivalent.
  • Excellent verbal and written communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Professional attitude and appearance.
  • Ability to be resourceful and proactive when issues arise.
  • Exceptional organizational skills and attention to detail.
  • Multitasking and time-management skills, with the ability to prioritize tasks effectively.
