Key Responsibilities
- Warmly greet and welcome visitors, clients, and candidates, directing them to the appropriate person or department.
- Manage a multi-line phone system, directing calls, taking messages, and handling inquiries efficiently and professionally.
- Maintain a tidy, presentable, and functional reception area.
- Receive, sort, and distribute daily mail, deliveries, and couriers.
- Schedule and coordinate meeting rooms, ensuring they are set up and cleared as required.
- Provide general administrative and clerical support, including data entry, filing, scanning, and photocopying.
- Assist with various office tasks as needed, supporting different departments.
- Manage office supplies inventory, placing orders when necessary.
- Ensure compliance with office security procedures by monitoring visitor access and issuing visitor passes.
Required Skills
- Fluent in spoken and written English with excellent grammar and and spelling.
- Proven experience as a Receptionist, Front Office Representative, or similar role (minimum 6 months).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Exceptional verbal and written communication skills.
- Strong organizational and time management skills with the ability to multitask.
- Professional appearance and demeanor.
- Ability to be resourceful and proactive when dealing with issues.
- Customer service-oriented approach.
Preferred Qualifications
- High School Diploma or equivalent; additional certification in Office Management is a plus.
- Experience with CRM software or booking systems.
- Knowledge of office equipment (e.g., fax machines, printers, scanners).
