Job Description

We are seeking an enthusiastic and highly organised Receptionist to be the first point of contact for our busy office in Merthyr Tydfil. This vital role goes beyond traditional reception duties, encompassing comprehensive front desk management, expert client handling, and efficient scheduling. You will be instrumental in creating a positive and professional atmosphere for all visitors and callers, ensuring seamless operations and exceptional service delivery. Key Responsibilities

  • Manage the main reception area, greeting clients and visitors warmly and professionally.
  • Answer and direct incoming calls with courtesy and efficiency, taking accurate messages as needed.
  • Handle all incoming and outgoing mail, deliveries, and courier services.
  • Schedule and coordinate meetings, appointments, and conference room bookings for staff and clients.
  • Maintain a tidy and organised reception area and common spaces, ensuring a professional appearance.
  • Assist with basic administrative tasks, including data entry, filing, and document preparation.
  • Manage office supplies inventory, placing orders and ensuring availability as required.
  • Provide exceptional client service, addressing inquiries and resolving issues promptly and politely.
  • Support various departments with ad-hoc administrative and clerical duties.
  • Maintain strict confidentiality of sensitive information and company records.

Required Skills

  • Proven experience as a Receptionist, Front Office Representative, or similar role (minimum 2 years).
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organisational and time management abilities.
  • Customer service-oriented with a professional and friendly demeanour.
  • Ability to multitask and prioritise tasks effectively in a dynamic environment.
  • Attention to detail and problem-solving skills.

Preferred Qualifications

  • Previous experience with scheduling software or CRM systems.
  • Understanding of basic accounting or invoicing procedures.
  • Ability to communicate in Welsh (desirable, but not essential).
  • Experience working in a professional services environment.
