As a Recruitment Coordinator, you will be the backbone of our talent acquisition efforts, managing the administrative and logistical aspects that keep our hiring process running smoothly and efficiently. You’ll play a crucial role in scheduling complex interviews across multiple time zones and calendars, coordinating candidate travel arrangements (when applicable), meticulously managing our applicant tracking system (ATS) to ensure data integrity, and preparing precise offer letters and new hire documentation. Beyond these essential administrative tasks, you will serve as a primary point of contact for candidates, acting as a crucial brand ambassador for Career.zycto. Key Responsibilities
- Manage and coordinate complex interview schedules across multiple calendars and time zones.
- Act as the primary point of contact for candidates, ensuring a positive and engaging experience from application to onboarding.
- Maintain accuracy and integrity of candidate data within the Applicant Tracking System (ATS).
- Prepare and extend offer letters, new hire paperwork, and manage background checks.
- Coordinate candidate travel and accommodation arrangements when necessary.
- Facilitate seamless communication between candidates, hiring managers, and recruiters.
- Assist with event planning for recruitment drives, career fairs, and onboarding sessions.
- Identify and implement process improvements to enhance recruitment efficiency and candidate experience.
- Support ad-hoc recruitment projects and administrative tasks as required.
Required Skills
- Proven experience as a Recruitment Coordinator, HR Assistant, or similar administrative role.
- Exceptional organizational and time management skills with a strong attention to detail.
- Excellent written and verbal communication skills in English and German.
- Proficiency in using Applicant Tracking Systems (ATS) and HRIS platforms.
- Demonstrated ability to manage multiple priorities in a fast-paced environment.
- Strong interpersonal skills with a professional and empathetic approach.
- High level of discretion and ability to handle confidential information.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
