Job Description

TWM Solicitors is seeking a highly organized, detail-oriented, and proactive Remote Intellectual Property Assistant to join our dynamic team. This pivotal role offers an exciting opportunity for an experienced professional to provide comprehensive administrative and paralegal support to our Intellectual Property (IP) attorneys and fee-earners, all from the comfort and flexibility of a remote working environment. You will be instrumental in managing various aspects of IP portfolios, ensuring the smooth operation of our IP practice, and contributing directly to the protection and enforcement of our clients’ valuable intellectual assets. This position requires a strong understanding of IP processes, meticulous attention to detail, and the ability to manage multiple priorities effectively in a fast-paced legal setting.

As a Remote Intellectual Property Assistant, you will play a crucial role in the lifecycle of patents, trademarks, designs, and copyright matters. Your responsibilities will span from initial client intake and correspondence to managing deadlines, preparing official filings, and maintaining accurate records. You will work closely with attorneys, clients, and external bodies, demonstrating excellent communication skills and a commitment to maintaining the highest standards of confidentiality and professionalism. Key Responsibilities

  • Provide administrative and paralegal support to IP attorneys and fee-earners, managing diaries, scheduling meetings, and handling correspondence.
  • Assist with the preparation, filing, and prosecution of patent, trademark, and design applications (both national and international).
  • Manage and maintain IP docketing systems, ensuring timely reminders for deadlines, renewals, and actions.
  • Conduct preliminary IP searches and research as directed by attorneys.
  • Draft, review, and proofread legal documents, correspondence, and reports with meticulous attention to detail.
  • Liaise with clients, foreign associates, and intellectual property offices (e.g., UK IPO, EPO, WIPO) regarding application status and procedural requirements.
  • Organize and maintain electronic and physical client files, ensuring accuracy and accessibility.
  • Process invoices, expenses, and manage billing related to IP matters.
  • Support the IP team in various ad-hoc projects and tasks as required.

Required Skills

  • Minimum of 2 years of experience as an Intellectual Property Assistant or Paralegal within a law firm or in-house legal department.
  • Proficient knowledge of patent, trademark, and design filing procedures and associated deadlines.
  • Familiarity with IP docketing software (e.g., CPA Global, Anaqua, IP Manager).
  • Excellent written and verbal communication skills.
  • Strong organizational skills and ability to manage multiple tasks and priorities effectively.
  • High level of accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently and as part of a remote team.
  • Demonstrated ability to maintain confidentiality and exercise discretion.

Preferred Qualifications

  • CIPA Patent Administrator Certificate or ITMA Paralegal Certificate.
  • Experience with international IP prosecution processes.
  • Bachelor's degree in Law or a related field.
  • Proficiency in an additional language.
