As our Remote Onboarding Assistant, you will be the friendly face and guiding hand for new employees, even from a distance. You’ll manage the entire pre-boarding and onboarding lifecycle, from the moment an offer is accepted right through to their initial weeks. This involves preparing all necessary documentation, coordinating technology and access, scheduling initial training sessions, and acting as a primary point of contact for any questions or concerns. You’ll work closely with HR, IT, and hiring managers to ensure all aspects of the onboarding process are harmonized and efficient.

Key Responsibilities

  • Coordinate and manage the complete remote onboarding process for new hires, from offer acceptance to their first few weeks.
  • Prepare and distribute all pre-boarding and onboarding documentation, including offer letters, contracts, and welcome packets.
  • Liaise with IT to ensure new employees receive necessary equipment, software access, and system credentials in a timely manner.
  • Schedule and coordinate orientation sessions, team introductions, and initial training programs.
  • Serve as the primary point of contact for new hires, answering questions and providing support throughout their onboarding journey.
  • Maintain accurate and up-to-date employee records and onboarding progress in our HRIS.
  • Collect and organize onboarding feedback to continuously improve the new hire experience.
  • Assist with background checks, compliance documentation, and other pre-employment verifications.
  • Develop and update onboarding materials, guides, and resources to enhance the remote experience.
  • Foster a welcoming and inclusive environment for all new team members.

Required Skills

  • Proven experience in an administrative, HR support, or onboarding role (preferably 1-2 years).
  • Exceptional organizational skills with keen attention to detail.
  • Strong written and verbal communication skills, especially in a remote setting.
  • Proficiency with HR Information Systems (HRIS) and applicant tracking systems (ATS).
  • Ability to manage multiple priorities and deadlines effectively.
  • High level of empathy and a strong customer service orientation.
  • Proficient in Google Workspace or Microsoft Office Suite.
  • Self-motivated and able to work independently in a remote environment.

Preferred Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Experience with remote onboarding processes and tools.
  • Familiarity with UK employment laws and compliance requirements.
  • Ability to create engaging and informative onboarding content.
  • Experience using video conferencing and collaboration tools (e.g., Zoom, Slack, Microsoft Teams).
