Job Description

We are seeking a highly motivated and empathetic Remote Volunteer Relations Coordinator to join the St Luke’s Hospice team. This pivotal full-time role will be instrumental in supporting, engaging, and growing our diverse volunteer base, all from a remote setting. While the role is remote, occasional travel to our Ecclesall site in Sheffield will be required for team meetings, training sessions, or volunteer events, ensuring a blend of flexibility and connection. As a Volunteer Relations Coordinator, you will be the primary point of contact for our volunteers, fostering a positive and supportive experience throughout their journey with St Luke’s. Your responsibilities will span the entire volunteer lifecycle, from initial recruitment and onboarding to ongoing engagement, retention, and recognition. You will be instrumental in implementing best practices in volunteer management, ensuring our volunteers feel valued, informed, and empowered to contribute their skills and time effectively. This role requires exceptional communication skills, a proactive approach to problem-solving, and a genuine passion for the non-profit sector and the invaluable contribution of volunteers. You will work collaboratively with various departments, understanding their volunteer needs and ensuring a seamless integration of volunteer support into our palliative care services and fundraising initiatives. Key Responsibilities

  • Manage the end-to-end volunteer recruitment process, including advertising, screening, interviewing, and placement.
  • Develop and deliver comprehensive remote and in-person induction and training programmes for new volunteers.
  • Serve as the primary remote contact for all volunteer enquiries, providing guidance, support, and conflict resolution.
  • Implement strategies for volunteer recognition and retention, fostering a strong sense of community and appreciation.
  • Maintain accurate and up-to-date volunteer records using our dedicated database system.
  • Coordinate volunteer schedules and assignments in conjunction with departmental needs.
  • Ensure all volunteer activities adhere to organisational policies, safeguarding guidelines, and legal requirements.
  • Organise and facilitate regular virtual and occasional in-person volunteer meetings and engagement events.
  • Monitor and evaluate volunteer satisfaction and programme effectiveness, providing regular reports to management.
  • Collaborate with internal departments to identify volunteer needs and develop appropriate role descriptions.

Required Skills

  • Proven experience in volunteer coordination, human resources, or a related field (2+ years).
  • Exceptional interpersonal and communication skills, both written and verbal, for remote interaction.
  • Strong organisational abilities with excellent attention to detail and time management.
  • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual communication platforms (e.g., Zoom, Microsoft Teams).
  • Demonstrated ability to work independently and collaboratively in a remote team environment.
  • Empathy, patience, and a non-judgmental approach when interacting with diverse individuals.
  • A proactive problem-solver with the ability to manage multiple priorities effectively.

Preferred Qualifications

  • Bachelor's degree in a relevant field (e.g., HR, Non-profit Management, Social Sciences).
  • Experience with volunteer management software or CRM systems.
  • Knowledge of safeguarding policies and best practices within the charity sector.
  • Previous experience working within a hospice or healthcare environment.
  • Full UK driving licence and access to a vehicle for occasional travel.
