Key Responsibilities

  • Manage the school's reception area, acting as the first point of contact for visitors, parents, and students.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail, directing enquiries appropriately.
  • Maintain accurate and confidential student records, attendance data, and personnel files using relevant school management systems (e.g., SIMS).
  • Assist with the organisation of school events, meetings, and parent evenings.
  • Process administrative paperwork related to admissions, pupil transfers, and leavers.
  • Manage school diaries, scheduling appointments and coordinating room bookings.
  • Oversee the ordering, stock control, and distribution of office supplies and school resources.
  • Support the finance department with basic invoicing, payment processing, and record keeping.
  • Ensure compliance with safeguarding procedures and school health and safety policies.
  • Provide general administrative support to the Headteacher, senior leadership team, and teaching staff as required.

Required Skills

  • Proven administrative experience, preferably within a school or educational setting.
  • Excellent communication skills, both written and verbal, with a professional and friendly demeanour.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with IT systems.
  • Strong organisational and time management skills, with the ability to prioritise tasks effectively.
  • Meticulous attention to detail and accuracy in record-keeping.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Discretion and the ability to handle sensitive information confidentially.
  • Understanding of safeguarding principles and commitment to promoting the welfare of children.

Preferred Qualifications

  • Experience with school management information systems (e.g., SIMS, Arbor).
  • A relevant administrative qualification (e.g., NVQ in Business Administration).
  • First Aid at Work qualification.
  • Knowledge of educational legislation and local authority procedures.
