Key Responsibilities

  • Serve as the primary point of contact for students, parents, staff, and visitors, providing courteous and helpful assistance.
  • Answer and direct phone calls, take messages, and manage the school’s general email correspondence with professionalism.
  • Perform general administrative duties including data entry, filing, photocopying, scanning, and maintaining organized office records.
  • Assist with the registration process for new students and maintain student attendance records and other essential student information confidentially.
  • Manage incoming and outgoing mail and deliveries, ensuring timely distribution.
  • Maintain office supplies inventory, place orders, and ensure the office is well-stocked and tidy.
  • Support teachers and administrative staff with various tasks, including preparing documents, scheduling appointments, and organizing meetings.
  • Assist in the preparation and distribution of school newsletters, announcements, and other communications.
  • Process routine financial transactions, such as collecting fees, issuing receipts, and maintaining basic financial records under supervision.
  • Ensure the confidentiality and security of all sensitive school information and records.
  • Assist with logistical arrangements for school events, parent-teacher conferences, and other activities as required.
  • Operate standard office equipment efficiently.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication skills in Portuguese and English.
  • Excellent organizational and time management abilities.
  • Meticulous attention to detail and accuracy.
  • Ability to multitask and prioritize effectively in a busy environment.
