Key Responsibilities

  • Provide comprehensive administrative and secretarial support to solicitors across the Corporate and Family Law departments.
  • Manage and maintain client case files, ensuring all documentation is accurately filed, organised, and up-to-date, both physically and digitally.
  • Draft, proofread, and prepare a variety of legal documents, correspondence, pleadings, and reports with precision and adherence to legal standards.
  • Conduct legal research using various resources, compiling information and presenting findings clearly and concisely to support legal arguments and advice.
  • Liaise effectively and professionally with clients, counsel, courts, external agencies, and other third parties, handling inquiries confidentially and efficiently.
  • Assist with diary management, scheduling appointments, court dates, meetings, and conferences, and preparing all necessary materials.
  • Process incoming and outgoing mail, manage emails, and handle telephone calls, redirecting queries or taking messages as appropriate.
  • Support billing processes, accurately recording time, expenses, and disbursements for assigned cases, and assisting with invoice preparation.

Required Skills

  • Minimum of 1 year proven experience in a legal administrative, legal secretary, or solicitor assistant role.
  • Exceptional organisational skills with meticulous attention to detail and a high degree of accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with legal case management software.
  • Strong written and verbal communication skills, with the ability to articulate complex information clearly.
  • Ability to manage multiple tasks, prioritise effectively, and meet deadlines in a demanding environment.
  • A high level of discretion, professionalism, and an unwavering understanding of client confidentiality.
  • A proactive, self-motivated approach to work with the ability to work independently and as part of a team.

Preferred Qualifications

  • A qualification in Legal Secretarial Studies, Business Administration, or a related legal field.
  • Previous experience specifically within Corporate Law and/or Family Law.
  • Familiarity with Northern Ireland legal procedures, court systems, and land registry processes.
  • Experience with electronic document management systems and digital dictation software.
