Job Description

The Studio Project Coordinator at Career.zycto plays a pivotal role in ensuring the seamless execution of our creative projects, from initial client brief to final delivery. This critical position acts as the central hub, linking creative teams, clients, and vendors, ensuring all moving parts align perfectly within established timelines and budgets. We are looking for an exceptionally organized, proactive, and detail-oriented individual who thrives in a fast-paced creative environment. You will be instrumental in maintaining project momentum, mitigating risks, and fostering clear communication across all stakeholders. This role requires a blend of administrative prowess, project management fundamentals, and an understanding of the creative process to effectively shepherd diverse projects, including digital content, branding campaigns, print collateral, and multimedia productions, through their entire lifecycle. Your ability to anticipate needs, troubleshoot challenges, and keep everyone informed will be key to our collective success. You will manage resources, schedule meetings, track deliverables, and prepare comprehensive project reports, ensuring transparency and accountability at every stage. Key Responsibilities

  • Coordinate all phases of studio projects, from initiation to closure, ensuring adherence to project scope, budget, and timeline.
  • Act as the primary point of contact for project-related communications between creative teams, clients, and external vendors.
  • Develop and maintain detailed project schedules, resource allocation plans, and track progress against milestones.
  • Facilitate efficient workflow by scheduling meetings, preparing agendas, taking minutes, and distributing relevant documentation.
  • Monitor project budgets, track expenses, and ensure financial goals are met while maintaining quality standards.
  • Identify potential project risks and challenges, proactively developing mitigation strategies and solutions.
  • Manage and organize project assets, files, and documentation using designated project management software and internal systems.
  • Oversee quality control processes, ensuring all deliverables meet Career.zycto’s high standards and client expectations.
  • Prepare regular project status reports, providing clear updates to stakeholders on progress, issues, and upcoming tasks.
  • Support the creative team with administrative tasks, facilitating a smooth and productive working environment.

Required Skills

  • Proven experience (minimum 3 years) in project coordination, preferably within a creative studio, agency, or production environment.
  • Exceptional organizational and time management skills with the ability to juggle multiple projects simultaneously.
  • Strong communication and interpersonal abilities, comfortable interacting with diverse stakeholders.
  • Proficiency in project management software (e.g., Asana, Trello, Monday.com, Jira, Smartsheet).
  • Solid understanding of project lifecycle methodologies and best practices.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Demonstrated problem-solving capabilities and a proactive approach to challenges.
  • Fluent in English, both written and verbal.

Preferred Qualifications

  • Bachelor’s degree in Project Management, Business Administration, Marketing, or a related creative field.
  • PMP, CAPM, or other relevant project management certification.
  • Experience with creative asset management systems and digital workflow tools.
  • Knowledge of Adobe Creative Suite applications (e.g., Photoshop, Illustrator, InDesign) is a plus.
  • Fluency in Arabic is a significant advantage.
