Key Responsibilities

  • Assist recruiters with various administrative tasks, including scheduling interviews, sending calendar invites, and preparing candidate materials.
  • Manage job postings on various platforms, ensuring accuracy and compliance with company branding and Google Job Posting guidelines.
  • Maintain and update candidate databases (ATS), ensuring data integrity and confidentiality.
  • Communicate with candidates throughout the recruitment process, providing timely updates and answering inquiries professionally.
  • Support the onboarding process by preparing necessary documentation and coordinating initial logistics.
  • Conduct initial screening of resumes against specified criteria, escalating qualified candidates to recruiters.
  • Generate reports on recruitment metrics and candidate pipeline status to support strategic decision-making.
  • Coordinate internal and external meetings related to talent acquisition initiatives and projects.
  • Assist in organizing and participating in career fairs and recruitment events to enhance employer branding.
  • Perform general office duties and support HR department as required, contributing to overall team efficiency.

Required Skills

  • Exceptional organizational and time management skills with a proven ability to prioritize.
  • Strong written and verbal communication skills in English and French (bilingualism is a strong asset for Quebec).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • High level of attention to detail and accuracy in all tasks.
  • Ability to work independently and collaboratively as part of a diverse team.
  • Discretion and ability to handle confidential information with utmost integrity.
  • Strong interpersonal skills and a professional demeanor.

Preferred Qualifications

  • Diploma or degree in Human Resources, Business Administration, or a related field.
  • Prior administrative or support experience in a professional office environment, ideally within HR.
  • Familiarity with Applicant Tracking Systems (ATS) such as Workday, Greenhouse, or Taleo.
  • Basic understanding of recruitment processes, talent acquisition strategies, and best practices.
