Job Description

We are seeking a highly organized and detail-oriented Warehouse Documentation Clerk to join our team in Koani, Chwaka. This is a crucial role within our operations, responsible for the accurate and timely processing of all documentation related to warehouse activities, including receiving, storing, and dispatching goods. While this is a full-time position, we offer flexible hours to accommodate work-life balance, provided that all operational requirements and deadlines are met. You will play a pivotal role in maintaining precise inventory records, preparing essential shipping and receiving paperwork, and ensuring compliance with both company standards and regulatory requirements.

Key Responsibilities

  • Accurately input and update data for all incoming and outgoing warehouse inventory movements.
  • Prepare, verify, and process shipping and receiving documentation, including waybills, manifests, and invoices.
  • Maintain meticulous physical and digital records of all warehouse documentation, ensuring easy retrieval and audit readiness.
  • Liaise effectively with warehouse personnel, drivers, and administrative staff to ensure smooth information flow and coordination.
  • Assist in conducting regular inventory counts and reconcile discrepancies in documentation.
  • Ensure compliance with company policies, safety regulations, and local customs procedures.
  • Handle customer inquiries regarding shipment status or documentation, providing timely and accurate information.
  • Organize and file documents systematically, both physically and electronically.

Required Skills

  • Proficiency in data entry and accurate record-keeping.
  • Strong organizational skills with an exceptional attention to detail.
  • Competency in using basic computer applications, including Microsoft Office Suite (Word, Excel).
  • Excellent verbal and written communication skills in English and Swahili.
  • Ability to work independently and manage time effectively.
  • Proven ability to maintain confidentiality and handle sensitive information.

Preferred Qualifications

  • A Certificate or Diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
  • Previous experience (1-2 years) in a warehouse, logistics, or administrative documentation role.
  • Familiarity with Warehouse Management Systems (WMS) or inventory software.
  • Basic knowledge of customs procedures and shipping regulations in Tanzania.
