Key Responsibilities
- Assist lead wedding planners in all stages of wedding coordination, from initial inquiry to post-event wrap-up.
- Conduct research on vendors (florists, photographers, caterers, entertainment) and obtain quotes, maintaining a comprehensive vendor database.
- Prepare detailed proposals, contracts, and timelines for clients.
- Schedule and attend client meetings, taking detailed notes and following up on action items.
- Manage RSVPs, guest lists, and seating arrangements.
- Coordinate logistical details, including venue setup, décor, catering, and transportation.
- Handle administrative tasks such as filing, invoicing, and payment tracking.
- Provide on-site support during wedding events, ensuring smooth execution and addressing any unforeseen issues.
- Liaise effectively with internal hotel departments (F&B, housekeeping, front desk) to ensure seamless service delivery.
- Assist with event styling and decor setup as required.
- Maintain clear and constant communication with clients, vendors, and team members.
- Assist in marketing and promotional activities for wedding services.
Required Skills
- Proven experience in an administrative or coordination role, preferably within hospitality or event planning.
- Exceptional organizational skills and meticulous attention to detail.
- Strong verbal and written communication skills in English (Swahili is a plus).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask, prioritize, and manage time effectively under pressure.
- A proactive attitude and problem-solving mindset.
- Excellent interpersonal skills and a client-focused approach.
- Ability to work flexible hours, including evenings, weekends, and holidays as required by events.
Preferred Qualifications
