Key Responsibilities

  • Provide advanced administrative and secretarial support to multiple legal partners and fee-earners, including sophisticated diary management, virtual meeting coordination, and complex travel arrangements.
  • Draft, review, and format a wide range of legal documents, correspondence, presentations, and reports, ensuring impeccable accuracy, grammar, and adherence to firm-wide standards.
  • Manage and prioritize inbound and outbound client communications, including screening calls, handling sensitive enquiries, and drafting professional email responses on behalf of partners.
  • Organize and maintain highly efficient electronic filing systems, ensuring all documents, client information, and case files are accurately recorded, easily accessible, and compliant with data protection regulations.
  • Coordinate and schedule virtual and occasional in-person meetings, conferences, court hearings, and depositions, including preparing comprehensive agendas and distributing relevant materials.
  • Assist with preliminary legal research tasks, comprehensive case preparation, and the management of intricate client databases.
  • Process billing, invoices, and financial records with precision, working closely with the finance department to ensure timely and accurate client charges and expense reconciliations.
  • Proactively identify, suggest, and implement administrative efficiencies and improvements within the remote work framework to enhance productivity and workflow.
  • Maintain strict confidentiality and exercise absolute discretion regarding all client matters, firm strategies, and sensitive internal information.

Required Skills

  • Minimum of 5 years of proven experience in a senior administrative or legal secretarial role within a reputable law firm.
  • Demonstrated experience supporting multiple senior-level professionals or legal partners in a fast-paced environment.
  • Exceptional proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams) and experience with legal practice management software.
  • Superior written and verbal communication skills, with an unwavering eye for grammar, punctuation, and professional legal tone.
  • Outstanding organizational, time management, and multitasking abilities, capable of prioritizing complex tasks effectively and meeting deadlines in a remote setting.
  • Proven ability to work independently, exercise sound judgment, take initiative, and maintain high productivity without direct supervision.
  • Strong understanding of legal terminology, court procedures, ethical guidelines, and compliance requirements specific to the UK legal system.
  • High level of discretion, integrity, and ability to handle highly confidential information with absolute trustworthiness.

Preferred Qualifications

  • Legal Secretarial qualification (e.g., CILEx Level 3 Diploma in Legal Secretaries or equivalent).
  • Experience with specific legal accounting or CRM systems commonly used by large firms (e.g., Aderant, InterAction).
  • Familiarity and proficiency with digital dictation software (e.g., BigHand) and advanced virtual collaboration tools.
  • Experience working in a remote or hybrid administrative support role previously.
