This role is paramount to the smooth operation of our executive team. As a Personal Assistant focusing on diary and travel management, you will be the linchpin ensuring our senior leadership can dedicate their full attention to strategic initiatives without logistical distractions. You’ll be responsible for meticulously managing complex calendars, coordinating intricate travel itineraries – both domestic and international – and handling all related administrative tasks with discretion and precision. Key Responsibilities
- Proactively manage and coordinate complex calendars and diaries for multiple executives, including scheduling meetings, appointments, and conferences.
- Arrange comprehensive travel itineraries, including flights, accommodation, ground transportation, visas, and detailed travel packs for domestic and international trips.
- Prepare and process expense reports, ensuring accuracy and timely submission, often related to travel and executive activities.
- Act as a primary point of contact, screening calls, emails, and correspondence, and redirecting or responding as appropriate with professionalism and discretion.
- Coordinate internal and external meetings, including preparing agendas, distributing pre-reading materials, setting up meeting rooms, and taking minutes when required.
- Anticipate executive needs and proactively address potential scheduling conflicts or travel disruptions, offering immediate solutions.
- Maintain highly organized digital and physical filing systems, ensuring confidentiality of sensitive information.
- Assist with ad-hoc administrative duties and special projects as requested, providing flexible support to the executive team.
Required Skills
- Proven experience as a Personal Assistant, Executive Assistant, or similar administrative role with a strong focus on diary and travel management.
- Exceptional organizational and time-management skills with the ability to prioritize and multitask effectively.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management software.
- Demonstrated ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Excellent written and verbal communication skills, with a professional and articulate demeanor.
- Strong problem-solving abilities and a proactive approach to anticipating needs.
Preferred Qualifications
- A relevant secretarial or administrative qualification.
