Career.zycto is actively seeking a highly skilled and exceptionally organized Executive Assistant to provide comprehensive administrative support to our Legal Department. This is a critical, fast-paced role that requires an individual with impeccable discretion, a proactive approach, and the ability to manage complex tasks with precision. As a pivotal member of our team, you will be instrumental in ensuring the smooth and efficient operation of the legal function, supporting our General Counsel and other legal professionals. Your day-to-day will involve a wide array of responsibilities, from managing intricate schedules and coordinating high-level meetings to preparing confidential legal documents and facilitating communication across departments. Key Responsibilities

  • Provide high-level administrative support to the General Counsel and other legal professionals, including calendar management, travel arrangements, and expense reporting.
  • Prepare, edit, and proofread confidential legal documents, correspondence, presentations, and reports, ensuring accuracy and adherence to company standards.
  • Organize and maintain legal files, both physical and electronic, ensuring proper indexing, retrieval, and confidentiality.
  • Coordinate and schedule internal and external meetings, including preparing agendas, distributing materials, and accurately recording meeting minutes.
  • Act as a primary point of contact for internal and external stakeholders on behalf of the Legal Department, managing inquiries with professionalism and discretion.
  • Assist with legal research, document production, and special projects as directed by the legal team.
  • Manage and track legal invoices, vendor relationships, and budgetary processes for the department.
  • Facilitate seamless communication and information flow between the Legal Department and other internal departments.
  • Proactively anticipate needs and provide solutions to improve efficiency and workflow within the legal team.

Required Skills

  • Minimum of 3-5 years of experience as an Executive Assistant, preferably within a corporate legal department or law firm.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proven ability to handle highly confidential information with utmost discretion and integrity.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal case management software.
  • Excellent written and verbal communication skills.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
  • Proactive and self-motivated with a strong work ethic and problem-solving abilities.
  • High school diploma or equivalent.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Legal Studies, or a related field.
  • Paralegal certificate or equivalent legal support training.
  • Familiarity with contract management systems.
  • Experience working in a professional services or recruitment industry context.
