Key Responsibilities
- Provide comprehensive secretarial and administrative support to fee earners and partners, including diary management, travel arrangements, and expense processing.
- Draft, format, proofread, and amend legal documents, correspondence, reports, and presentations with high accuracy and attention to detail.
- Manage incoming and outgoing communications, including phone calls, emails, and postal mail, ensuring timely and professional responses.
- Maintain organized and up-to-date client files, both electronic and physical, adhering to firm protocols and data protection regulations.
- Assist with the billing process, including time recording, preparing invoices, and managing client accounts.
- Coordinate and schedule meetings, appointments, and conferences, including booking venues and arranging refreshments.
- Undertake basic legal research as directed and assist with the preparation of court bundles and other legal documentation.
- Ensure strict confidentiality of all client information and firm matters.
- Operate and maintain office equipment, including printers, scanners, and dictation systems.
- Adhere to all firm policies, procedures, and professional standards.
- Provide front-of-house support, greeting clients and visitors warmly when required.
Required Skills
- Proven secretarial experience, ideally within a professional services environment.
- Excellent typing speed and accuracy (minimum 60 wpm).
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Exceptional organizational and time management capabilities with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills, with impeccable grammar and punctuation.
