Job Description

We are actively seeking a highly skilled and compassionate Legal Secretary with specific experience in Family Law to join our bustling Melbourne, Florida office immediately. Key Responsibilities

  • Draft, proofread, and format various legal documents, including pleadings, motions, orders, and correspondence specific to family law cases (e.g., dissolutions, paternity, child support, custody agreements).
  • Manage attorney calendars, schedule appointments, court dates, mediations, and client meetings efficiently.
  • Prepare and process court filings, ensuring strict adherence to Florida court rules and deadlines, including electronic filing procedures.
  • Maintain organized and confidential client files, both physical and electronic, ensuring all documentation is current and accessible.
  • Act as a primary point of contact for clients, courts, opposing counsel, and third parties, handling inquiries with professionalism and discretion.
  • Transcribe dictation, prepare expense reports, and assist with billing and invoicing processes.
  • Conduct basic legal research and gather relevant case information as requested by attorneys.
  • Perform general office duties, including answering phones, managing mail, scanning, copying, and ordering supplies.
  • Assist in the preparation for hearings, depositions, and trials by compiling necessary documents and exhibits.

Required Skills

  • Minimum of 2 years of recent experience as a Legal Secretary, specifically within Family Law.
  • Proficiency in legal case management software (e.g., Clio, MyCase, or similar).
  • Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
  • Exceptional written and verbal communication skills, with a keen eye for grammar and punctuation.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities under tight deadlines.
  • Demonstrated ability to maintain strict client confidentiality and exercise sound judgment.
  • Thorough understanding of Florida court rules and procedures, particularly in family law.
  • Ability to work independently with minimal supervision and collaboratively within a team environment.

Preferred Qualifications

  • Associate's degree or paralegal certificate from an accredited institution.
  • Experience with e-filing systems for Florida courts.
  • Active Notary Public commission in Florida.
  • Bilingual (English/Spanish) communication skills.
  • Knowledge of discovery processes and document production in family law.
