Key Responsibilities

  • Assist foreign workers with the preparation and submission of visa applications, work permits, and other immigration-related documents.
  • Liaise with relevant government bodies, embassies, and consulates to track application statuses and address inquiries.
  • Maintain accurate and up-to-date records of all foreign worker applications, approvals, and legal statuses.
  • Provide clear, concise, and empathetic guidance to foreign workers regarding immigration requirements, processes, and timelines.
  • Coordinate pre-arrival and post-arrival logistics for foreign workers, including travel arrangements and initial settlement support.
  • Collaborate with internal HR and legal teams to ensure compliance with Kenyan immigration laws and company policies.
  • Support the orientation and integration process for new foreign hires, providing resources and information about living and working in Kenya.
  • Prepare reports on foreign worker program progress, challenges, and successes.
  • Assist in the development and update of immigration-related policies and procedures.

Required Skills

  • Proven experience in an administrative support role, preferably within HR, recruitment, or immigration services.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion and professionalism.
  • Demonstrated ability to work effectively under pressure and manage multiple priorities.
  • Problem-solving aptitude and a proactive approach to task management.

Preferred Qualifications

  • A diploma or degree in Human Resources, Business Administration, Legal Studies, or a related field.
  • Previous experience specifically with Kenyan immigration procedures and labor laws.
  • Familiarity with diverse cultural backgrounds and sensitivity to international worker needs.
  • Fluency in additional languages (e.g., Swahili, French) is a plus.
  • Experience using HRIS or applicant tracking systems.
