Key Responsibilities
- Prepare, proofread, and file patent applications, responses to office actions, and other related documents with relevant intellectual property offices, including CIPO, USPTO, and PCT.
- Manage and monitor critical patent prosecution deadlines using comprehensive docketing systems, ensuring all filings are completed accurately and on schedule.
- Draft, format, and finalize routine correspondence, reports, and various legal documents for patent agents and attorneys.
- Communicate directly with clients, foreign associates, and patent office personnel regarding application status, required documents, and procedural matters.
- Maintain and update electronic and physical patent files, ensuring all records are accurate, organized, and readily accessible for reference.
- Conduct preliminary searches and gather information pertinent to new patent applications and existing intellectual property rights.
- Assist in preparing cost estimates and invoices related to patent filings, prosecution, and maintenance fees.
- Coordinate and schedule meetings, manage calendars, and arrange travel logistics for patent professionals as needed.
- Provide general administrative support to the intellectual property team, including data entry, photocopying, mail distribution, and office supplies management.
- Stay updated on changes in patent law, regulations, and office procedures to ensure compliance and implement best practices within the firm.
Required Skills
- Exceptional organizational and time management skills with strong attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills in English and French (bilingualism is essential for Montreal).
- Ability to prioritize tasks, manage multiple projects simultaneously, and meet tight deadlines.
- Strong analytical and problem-solving abilities.
- Discretion and the ability to handle confidential information with integrity.
Preferred Qualifications
- Paralegal diploma or certification from an accredited institution.
- 2+ years of experience working as a Patent Assistant or Intellectual Property Administrator in a law firm or corporate legal department.
- Familiarity with intellectual property docketing software (e.g., Anaqua, CPA Global IPMS, Patrawin).
- Basic knowledge of patent prosecution procedures and terminology for Canadian, U.S., and international filings (PCT).
- Experience with electronic filing systems of intellectual property offices (CIPO, USPTO).
