Key Responsibilities

  • Manage and organize physical and electronic files, ensuring accuracy and easy retrieval of documents.
  • Handle incoming and outgoing correspondence, including emails, letters, and internal memos, ensuring timely distribution and response.
  • Assist the public with inquiries, providing accurate information and guiding them through relevant procedures with professionalism and courtesy.
  • Prepare, proofread, and format various documents, reports, and presentations.
  • Maintain appointment schedules and calendars, coordinating meetings and ensuring all necessary materials are prepared.
  • Process forms, applications, and permits, ensuring all data entry is accurate and complete.
  • Assist in the preparation of budgets and financial reports, managing petty cash and office supplies.
  • Operate standard office equipment such such as computers, printers, scanners, and multi-line phone systems.
  • Adhere strictly to confidentiality protocols and data protection regulations.
  • Collaborate effectively with team members and other departments to achieve collective goals.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills in English and Swahili.
  • Strong organizational and time management abilities.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • High level of integrity and discretion when handling sensitive information.

Preferred Qualifications
