Key Responsibilities

  • Greet patients and visitors warmly, ensuring a positive first impression.
  • Schedule and confirm patient appointments efficiently and accurately, managing cancellations and rescheduling as needed.
  • Answer and direct phone calls with professionalism, addressing patient inquiries and relaying messages to appropriate staff.
  • Manage patient registration, including collecting and updating demographic and insurance information.
  • Process patient payments, issue receipts, and handle basic billing inquiries.
  • Maintain patient records with strict confidentiality, ensuring accuracy and completeness.
  • Prepare patient charts and rooms for upcoming appointments.
  • Manage incoming and outgoing mail, faxes, and electronic communications.
  • Maintain a clean, organized, and welcoming reception area.
  • Assist with other administrative tasks as required to support clinic operations.

Required Skills

  • Proven experience as a Medical Receptionist or in a similar administrative role within a healthcare setting.
  • Proficiency in medical office software and electronic health records (EHR) systems.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities, with attention to detail.
  • Ability to handle sensitive information with discretion and maintain patient confidentiality (PIPEDA/HIPAA knowledge an asset).
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Customer service-oriented approach with a friendly and empathetic demeanor.
  • Ability to multitask and remain calm under pressure.

Preferred Qualifications

  • Medical Office Assistant (MOA) diploma or equivalent certification.
  • Knowledge of medical terminology and billing practices.
  • Experience with a specific EHR system used in British Columbia.
  • Bilingualism (English and Punjabi) is an asset due to our diverse patient base.
