Job Description

We are seeking a dedicated and meticulous Full-Time Archive Aide to join our team on Ibo Island. This role is crucial in supporting Fundação Ibo’s mission to preserve and document the rich history and cultural heritage of the island. The Archive Aide will be responsible for assisting with the organization, cataloging, and maintenance of our growing collection of historical documents, photographs, maps, and oral histories. This includes both physical and digital assets. You will play a vital role in ensuring that our archives are well-maintained, easily accessible, and properly preserved for research, educational purposes, and future generations. This position requires a keen eye for detail, a methodical approach to tasks, and a strong commitment to cultural preservation. The ideal candidate will be eager to learn about archival best practices and contribute to a meaningful cause in a unique historical setting. You will work closely with our program managers and local community members, gaining invaluable experience in heritage management and community engagement. Key Responsibilities

  • Assist in the organization, classification, and cataloging of physical archival materials (documents, photographs, maps, artifacts).
  • Support the digitization of historical records, ensuring high-quality scans and accurate metadata entry.
  • Maintain the physical integrity of archive collections through proper handling, storage, and environmental monitoring.
  • Assist researchers and visitors in accessing archival materials, under supervision.
  • Perform data entry and update inventory lists for both physical and digital collections.
  • Conduct basic conservation tasks, such as re-housing items in acid-free folders and boxes.
  • Contribute to the development of finding aids and descriptive guides to improve accessibility.
  • Adhere strictly to archival policies and procedures, including confidentiality and ethical handling of sensitive information.
  • Support general administrative duties related to the archive department.
  • Participate in training sessions and workshops on archival practices and heritage preservation.

Required Skills

  • High school diploma or equivalent.
  • Demonstrated strong attention to detail and organizational skills.
  • Proficiency in basic computer applications (Microsoft Office Suite, particularly Word and Excel).
  • Ability to work methodically and accurately with delicate materials.
  • Good written and verbal communication skills in Portuguese.
  • Ability to work independently as well as part of a team.
  • Physical ability to lift and move boxes of documents (up to 15 kg).

Preferred Qualifications

  • Previous experience in an archive, library, museum, or similar cultural institution.
  • Familiarity with archival standards and practices.
  • Knowledge of English and/or Kimwani is an advantage.
  • An interest in history, cultural heritage, and community development.
  • Experience with digital scanning and image manipulation software.
