Key Responsibilities

  • Warmly greet and welcome clients and visitors in multiple languages, ensuring a professional and positive first impression.
  • Manage a multi-line phone system, directing calls efficiently and taking accurate messages.
  • Handle all incoming and outgoing correspondence, including emails, mail, and packages.
  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Provide comprehensive administrative support to various departments, including data entry, filing, and document preparation.
  • Maintain a tidy, organised, and professional reception area.
  • Assist with basic translation or interpretation tasks as required to facilitate communication.
  • Manage office supplies inventory and place orders as needed.
  • Liaise with internal teams and external vendors to ensure smooth office operations.
  • Process incoming deliveries and manage outgoing shipments.

Required Skills

  • Fluency in English and proficiency in at least one other European language (e.g., French, German, Spanish, Polish) – both written and verbal.
  • Excellent interpersonal and communication skills, with a clear and professional telephone manner.
  • Proven organisational skills and the ability to multitask effectively in a busy environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
