Key Responsibilities
- Conduct thorough consultations with wedding couples and corporate clients to understand their vision, objectives, and budget for their events.
- Develop innovative and customized event concepts, proposals, and presentations that align with Jakes Hotel's brand aesthetic and client expectations.
- Create detailed event timelines, production schedules, and logistical plans, ensuring all elements are accounted for and executed seamlessly.
- Source, negotiate with, and manage a diverse network of vendors including caterers, florists, photographers, entertainers, and transportation services.
- Manage event budgets meticulously, track expenses, and ensure profitability while maintaining high-quality standards.
- Oversee on-site event setup, coordination, and breakdown, ensuring smooth operations and swift resolution of any unforeseen issues.
- Act as the primary point of contact for clients and vendors throughout the planning process, providing exceptional communication and client service.
- Conduct post-event evaluations, gather feedback, and analyze results to identify areas for improvement and future opportunities.
- Stay abreast of industry trends, new technologies, and best practices in event planning to continuously enhance Jakes Hotel's event offerings.
Required Skills
- Minimum of 4 years of proven experience in planning and executing weddings and corporate events, preferably within the hospitality industry.
- Exceptional organizational and project management skills, with the ability to juggle multiple projects and deadlines effectively.
- Strong communication, negotiation, and interpersonal skills to build rapport with clients, vendors, and internal teams.
- Demonstrated ability in budget management and cost control for various event scales.
- Creative flair and an eye for design, detail, and aesthetics, capable of transforming visions into tangible experiences.
- Proficiency in event management software (e.g., Aisle Planner, HoneyBook) and Microsoft Office Suite.
- Ability to work independently as a freelancer, managing your own schedule and deliverables efficiently.
- Problem-solving acumen and composure under pressure during live event situations.
Preferred Qualifications
- A Bachelor's degree in Hospitality Management, Event Management, Marketing, or a related field.
- Certification in Event Planning (e.g., CSEP, CMP).
- Established network of local vendors and suppliers within St. Elizabeth and the wider Jamaica.
- Experience with destination weddings and events, understanding unique logistical challenges.
