Job Description

We are seeking a highly motivated and detail-oriented Hotel Reservations Officer to join our vibrant team in Osogbo, Osun State. As the first point of contact for many of our guests, you will play a crucial role in shaping their experience from the moment they consider staying with us. This position requires an individual with exceptional communication skills, a knack for organization, and a genuine passion for delivering outstanding customer service. You will be responsible for managing all aspects of the reservation process, from initial inquiry to final booking, ensuring accuracy and guest satisfaction.

The Hotel Reservations Officer will be instrumental in maximizing room occupancy and revenue by efficiently handling bookings, responding to queries, and proactively offering tailored solutions to meet guest needs. You will become an expert on our hotel’s offerings, local attractions, and special promotions, using this knowledge to enhance the guest experience and secure bookings. Key Responsibilities

  • Handle all incoming reservation inquiries promptly and professionally via phone, email, and various online booking platforms.
  • Process room reservations accurately, capturing all necessary guest details, special requests, and payment information.
  • Provide comprehensive and up-to-date information about hotel facilities, services, room types, rates, and local points of interest.
  • Manage room inventory and availability efficiently using the hotel's Property Management System (PMS) to prevent overbooking or missed opportunities.
  • Send out booking confirmations and essential pre-arrival information to guests in a timely manner.
  • Proactively resolve any reservation-related issues, discrepancies, or guest complaints with empathy and efficiency.
  • Liaise effectively with other hotel departments, including Front Desk, Housekeeping, Sales, and F&B, to ensure seamless guest experiences.
  • Assist with the coordination and booking of group reservations, corporate accounts, and special event packages.
  • Maintain meticulous records of all reservation activities, guest communications, and booking trends.
  • Actively participate in up-selling and cross-selling hotel amenities, packages, and promotions to maximize revenue.
  • Adhere strictly to all hotel policies, procedures, and service standards to ensure consistent guest satisfaction.

Required Skills

  • Exceptional verbal and written communication skills in English.
  • Strong customer service orientation with a pleasant and helpful demeanor.
  • Proficiency in using reservation software and Property Management Systems (PMS).
  • Excellent organizational and time management abilities, with a capacity to multitask.
  • Meticulous attention to detail and high level of accuracy.
  • Ability to perform effectively under pressure and handle challenging situations gracefully.
  • Competency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong problem-solving and decision-making skills.

Preferred Qualifications

  • OND/HND/B.Sc. in Hospitality Management, Tourism, or a related field.
  • Previous experience with Opera PMS or other widely used hotel management software.
  • Demonstrable knowledge of local attractions, culture, and services in Osogbo and Osun State.
  • Fluency in an additional Nigerian language, particularly Yoruba.
  • At least 1-2 years of proven experience in a hotel reservations or front office role.
