Career.zycto is seeking a dedicated and enthusiastic Onboarding Specialist to join our vibrant Human Resources team in Stuttgart. Your day-to-day will involve coordinating all aspects of the onboarding process, from pre-hire communications and paperwork to first-day orientations and ongoing integration support. You’ll work closely with various departments, including IT, Management, and HR Business Partners, to ensure all necessary resources and introductions are in place. Key Responsibilities
- Coordinate and manage all aspects of the new hire onboarding process from offer acceptance through the first 90 days.
- Act as the primary point of contact for new employees, guiding them through pre-employment steps, company policies, and initial inquiries.
- Prepare and process all new hire documentation, including contracts, background checks, and HR system entries, ensuring accuracy and compliance.
- Design, prepare, and deliver engaging orientation sessions, introducing new hires to Career.zycto's culture, values, and benefits.
- Collaborate with IT, facilities, and hiring managers to ensure new hires have necessary equipment, system access, and workspaces ready on day one.
- Gather feedback from new hires and hiring managers to continuously improve and optimize the onboarding experience.
- Maintain up-to-date knowledge of German labor laws and company policies relevant to employee onboarding.
- Develop and distribute welcome packets, training schedules, and other essential onboarding materials.
- Facilitate introductions and foster cross-departmental connections for new team members.
- Track and report on onboarding metrics to identify trends and areas for enhancement.
Required Skills
- 2+ years of experience in an HR or Onboarding specific role.
- Exceptional communication skills, both written and verbal, in English and German (C1 level minimum).
- Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong organizational skills and meticulous attention to detail.
- Proficiency with HR Information Systems (HRIS) and Applicant Tracking Systems (ATS).
- Demonstrated ability to build rapport and effectively interact with diverse groups of people.
- Problem-solving aptitude with a proactive and solutions-oriented mindset.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Preferred Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Experience working in a rapidly scaling technology company.
- Knowledge of German labor law and employment regulations specific to Baden-Württemberg.
- HR certification (e.g., PHR, SHRM-CP, or local equivalent).
- Fluency in additional European languages.
- Experience with digital onboarding platforms and tools.
