Your daily tasks will involve not just drafting and proofreading, but also understanding the legal implications of various documents, managing document version control, and ensuring compliance with local legal standards and court procedures.

This role is ideal for someone who possesses a strong understanding of legal terminology and processes, exceptional writing and grammar skills, and an unwavering commitment to confidentiality and ethical conduct. You will be responsible for preparing, formatting, and organizing legal documents using advanced word processing software and our firm’s case management system. This includes, but is not limited to, petitions, motions, briefs, summonses, affidavits, discovery requests and responses, settlement agreements, and corporate resolutions. Beyond mere preparation, you will also assist with the compilation of evidence, creation of exhibit lists, and preparation of binders for court hearings or client meetings. We are looking for an individual who is proactive, can manage multiple priorities simultaneously, and consistently meets tight deadlines without compromising on quality.

You will be the cornerstone of our document workflow, ensuring that every piece of paper, physical or digital, is handled with the utmost care and precision. Beyond direct document creation, you will also be involved in maintaining our comprehensive electronic and physical filing systems, ensuring documents are readily retrievable for our legal team and clients. This includes scanning, indexing, and categorizing legal documents, as well as managing document retention schedules in accordance with legal and firm policies. Your role will also involve assisting with legal research to ensure documents are drafted in compliance with the latest statutes and regulations, cross-referencing facts, and verifying citations. The ability to anticipate the needs of our attorneys and proactively prepare necessary documentation will be highly valued. Key Responsibilities

  • Draft, proofread, and format a wide range of legal documents, including pleadings, motions, briefs, affidavits, contracts, and correspondence.
  • Ensure all documents adhere to proper legal formatting, grammar, punctuation, and citation standards.
  • Organize and maintain both electronic and physical client files, ensuring quick and accurate retrieval of information.
  • Manage document version control and ensure all filings are completed accurately and on time with relevant courts and agencies.
  • Assist attorneys with legal research related to document preparation to ensure compliance with current laws and regulations.
  • Prepare exhibits, appendices, and trial binders for court hearings, depositions, and client meetings.
  • Coordinate with clients to gather necessary information and documentation, maintaining strict confidentiality.
  • Utilize case management software and other legal tech tools to streamline document processes.
  • Perform general administrative tasks to support the legal team as needed.

Required Skills

  • Diploma or Certificate in Paralegal Studies or a related field.
  • Minimum of 2 years of experience as a Paralegal, with a strong focus on document preparation.
  • Exceptional written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong understanding of legal terminology, court procedures, and document filing requirements in Kenya.
  • High level of accuracy, attention to detail, and organizational skills.
  • Ability to work independently and manage multiple tasks under strict deadlines.
  • Proven ability to maintain strict confidentiality and exercise sound judgment.

Preferred Qualifications

  • Bachelor's degree in Law or a related discipline.
  • Experience with legal case management software (e.g., Clio, MyCase).
  • Knowledge of various legal practice areas, including corporate, litigation, or real estate law.
  • Fluency in Swahili is an added advantage.
