Key Responsibilities
- Warmly greet and welcome all visitors, clients, and employees, with particular sensitivity and understanding towards international guests and newcomers.
- Manage a multi-line phone system, directing calls efficiently, taking accurate messages, and providing initial support.
- Oversee incoming and outgoing mail, packages, and deliveries, ensuring timely processing and distribution.
- Maintain a clean, organized, and professional reception area, common spaces, and meeting rooms.
- Schedule and coordinate appointments and meetings, managing conference room bookings and preparing necessary materials.
- Provide general administrative and clerical support, including data entry, filing, photocopying, and document preparation.
- Assist with initial office orientation and provide relevant resources for new staff, particularly those new to Canada.
- Handle basic inquiries from the public and clients, directing more complex questions to the appropriate department or individual.
- Process and track office supply orders, ensuring adequate stock levels and cost-efficiency.
- Uphold company security protocols by monitoring visitor access, issuing temporary passes, and maintaining visitor logs.
Required Skills
- Proven experience (minimum 1 year) as a Receptionist, Front Office Representative, or similar administrative role.
- Exceptional verbal and written communication skills in English.
- Strong interpersonal skills with a patient, empathetic, and culturally sensitive approach.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and multitasking abilities, with keen attention to detail.
- Ability to remain calm, professional, and composed under pressure.
- High degree of cultural awareness and a genuine desire to assist individuals from diverse backgrounds.
- Proactive and resourceful problem-solver with a strong service-oriented mindset.
Preferred Qualifications
- Fluency in a second language (e.g., Mandarin, Punjabi, Korean, Spanish) is a strong asset.

- Knowledge of basic immigration processes or local community resources available for newcomers in Burnaby/Vancouver.
- Post-secondary education or certification in Office Administration, Business, or a related field.
