Key Responsibilities
- Warmly greet and welcome visitors, clients, and employees with a professional and friendly demeanor.
- Manage a multi-line phone system, directing calls to the appropriate personnel and taking messages accurately.
- Maintain the cleanliness and organization of the reception area and common spaces.
- Schedule and coordinate meetings, appointments, and conference room bookings.
- Sort and distribute incoming mail and packages, and prepare outgoing correspondence.
- Provide administrative support to various departments, including data entry, filing, and document preparation.
- Assist with office supply inventory management, ordering, and stocking.
- Process incoming and outgoing faxes and emails as needed.
- Handle client inquiries and provide general information about the company.
- Maintain security by following procedures, monitoring logbook, and issuing visitor badges.
- Operate standard office equipment, including computers, printers, and copiers.
Required Skills
- Proven experience as a Receptionist, Front Office Representative, or similar role (1+ years).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional appearance and friendly demeanor.
- Ability to be resourceful and proactive when issues arise.
- High school diploma or equivalent.
Preferred Qualifications
