Key Responsibilities
- Plan and execute conferences, seminars, workshops, and networking events from conception to completion.
- Manage event budgets, negotiate contracts with venues and suppliers, and ensure cost-effectiveness.
- Coordinate all logistical aspects, including venue booking, AV requirements, catering, transportation, and accommodation.
- Liaise with speakers, presenters, and facilitators, managing their schedules, travel, and technical requirements.
- Oversee event registration processes, including managing attendee databases and providing support.
- Collaborate with marketing teams to develop promotional materials, event websites, and communication strategies.
- Manage on-site event operations, including setup, registration desk, volunteer coordination, and troubleshooting.
- Conduct post-event evaluations, gather feedback, analyse data, and prepare reports for continuous improvement.
- Build and maintain strong relationships with vendors, sponsors, partners, and attendees.
- Ensure all events adhere to health, safety, and accessibility regulations.
Required Skills
- Proven experience in event coordination or project management (minimum 2.5 years).
- Exceptional organisational and time management skills with a keen eye for detail.
- Strong verbal and written communication abilities, suitable for diverse stakeholders.
- Proficiency in event management software (e.g., Eventbrite, Cvent) and Microsoft Office Suite.
- Budget management and negotiation expertise.
